Types of Info Records in Procurement

When managing procurement processes, purchasing info records play a crucial role in storing vendor and material-related data. These records streamline procurement and improve supply chain efficiency. Below, we explore the four main types of info records used in purchasing: 

1. Standard Info Record

A standard info record contains essential details for standard purchase orders. These records can be created for both materials and services, whether or not they have existing master records. Standard info records help maintain vendor-specific pricing and purchasing conditions. 

2. Subcontracting Info Record

A subcontracting info record includes ordering information for subcontract orders. This is particularly useful when outsourcing part of the production process. 
  • Example: If you subcontract the assembly of a component, the info record will store the subcontractor’s pricing for the service.

3. Pipeline Info Record

A pipeline info record is used for materials supplied through pipelines, such as: 
  • Oil, water, gas
  • Electricity supplied via mains
The info record contains the vendor’s pricing for consumption-based withdrawals and allows for storing different prices for various validity periods. 

4. Consignment Info Record

A consignment info record is used when vendors store materials at the buyer’s premises at their own cost
  • The buyer only pays for the withdrawn stock, and the info record stores pricing details for withdrawals.
  • Like pipeline records, pricing can be adjusted for different periods.
